Rebate Processing
The process begins as the Response Management Team
reviews each arriving request to ensure that all rebate requirements
have been satisfied. Organized in batches, the approved rebates
are then efficiently keyed directly, via the Internet, to the client’s
secure server, providing instantaneous information for the client’s
customer service operations.
For clients who require traditional data output, rebate
processing information may also be supplied in any other required
format.
In addition, ineligible requests are batched separately,
keyed, and materials are returned to each submitter with a letter
of explanation.
Following is a sample list of data fields that may
be captured; depending on the project, additional fields are often
added. All data is captured in upper case, unless requested otherwise;
abbreviations are used for address standardization only:
· First Name
· Middle Initial
· Last Name
· Organization / Company
· Address Line 1
· Address Line 2
· City, State, Zip
· Phone Number
· Fax Number
· Email Address
· Postmark Date on Entry Form Envelope
· Campaign / Rebate Program Code
· Dealer Name from Register Receipt
· Register Receipt Date
· UPC Codes and Quantity Applicable from Register Receipt
· Price Paid on Applicable Products from Register Receipt
Response Card Processing
Response cards, the Business Reply Mail cards often
found in national magazines and in direct mail campaigns, are processed
in batches as they arrive; data is entered to client specifications.
Stat Check Processing
When companies include a survey form on the back of
a rebate check, data needs to be entered after customers cash the
checks. Stat checks are processed in batches as they arrive; data
is entered to client specifications.
